Terms of Use
Lead Desk (IBI CRM)
Operated by immigration by investment (DBA) - Immigration Diligence LLC
Effective date: October 9, 2026
These Terms of Use ("Terms") govern your access to and use of Lead Desk, the lead management service at https://ibicrm.com (the "Service"). Our Zoom app for the Service is called "IBI CRM". The Service is operated by Immigration Diligence LLC, doing business as "immigration by investment" ("IBI", "we", "us" or "our"), the company behind https://www.immigrationbyinvestment.com.
By signing in to or using the Service, you agree to these Terms. If you use the Service on behalf of a firm, you confirm that you have authority to bind that firm, and "you" includes the firm. If you do not agree, do not use the Service.
Our Privacy Policy explains how we handle personal data in the Service.
The short version
This summary is here to help you find your way. The full Terms below are what count.
- Lead Desk is free for advisors. Your firm pays only for the leads it receives, under its separate lead arrangement with IBI.
- The leads IBI provides to your firm belong to your firm. If a lead is moved to another firm, that firm is responsible for it from then on, and your firm stays responsible for the records it created.
- Your firm is responsible for its own consultations, for contacting its leads lawfully, and for getting consent before anything is recorded.
- Other advisors cannot see your leads. IBI administrators can see everything in the Service.
- AI output can be wrong. Check it before you rely on it.
- If you disconnect Zoom, the transcripts it brought in are deleted at once.
1. What the Service is
IBI uses the Service to manage people interested in immigration-by-investment programs ("leads") and to pass them to partner advisory firms. In the Service, IBI and its partner advisors can:
- receive leads from online forms, including Facebook lead forms;
- qualify leads, including with automated AI voice calls and AI-generated lead reports;
- assign leads to advisors;
- contact leads by phone, SMS and email, and send them booking links;
- track consultations;
- review consultation transcripts with the help of AI.
The Service is a business tool for IBI and its partner advisors. It is not a consumer product. It does not give legal, immigration, tax, investment or financial advice.
IBI provides the Service to advisors free of charge (section 11). We may change, add or remove features of the Service at any time.
2. Who may use the Service
2.1 Invitation only. There is no public sign-up. An IBI administrator creates every account. The Service is available only to:
- Administrators: IBI staff who manage the Service, its users, lead assignment and settings.
- Advisors: partner advisors and advisory firms that IBI has invited, who work with the leads IBI provides to them.
2.2 Eligibility. You must be at least 18 years old. You may use the Service only for business purposes.
2.3 Who sees what.
- An advisor sees only the leads currently assigned to them in the Service, and the records attached to those leads.
- Other advisors cannot see the leads assigned to you, your consultations, your connected accounts or your alerts.
- A consultation transcript and its AI review are visible to the advisor who held the consultation, and only while the lead is assigned to them. This applies both to uploaded transcripts and to transcripts imported from Zoom.
- If a lead is moved to another advisor in the Service, the previous advisor loses access to it. For work done earlier by another advisor, the new advisor sees only basic facts (for example when a call or message happened, its channel and its outcome), not its content.
- IBI administrators can see all leads and records, including the transcripts and AI reviews of your consultations.
- An administrator can hide a transcript's text from the advisor. The advisor then still sees the AI review, but without verbatim quotes.
3. Accounts and security
3.1 IBI creates your account and gives you your sign-in details. Your account is personal. Do not share your sign-in details or let anyone else use your account.
3.2 You are responsible for activity under your account. Keep your password confidential, and do not use it for any other service.
3.3 Tell us at once at contact@immigrationbyinvestment.com if you think your account has been compromised, or that someone has seen data they should not see.
3.4 A sign-in lasts up to 30 days on a device unless you sign out. Sign out on shared devices.
3.5 Repeated failed sign-in attempts may be blocked for a time.
3.6 We may suspend your access if we believe your account is at risk.
4. Leads and your firm's responsibilities
4.1 Leads belong to your firm. The leads IBI provides to your firm, and the data about them in the Service, belong to your firm, subject to the rules below for a lead that is moved to another firm. That data includes form answers, contact details, call records, messages, reports and consultations.
If a lead is moved to another firm:
- the firm the lead is currently assigned to is responsible for it from then on;
- each firm remains responsible for the records it created, for example its calls, messages, booking invitations and consultations;
- those records stay in Lead Desk until deletion is requested, except that consultation transcripts and reviews are kept only for their retention period (section 9.4). Their content is visible only to IBI administrators. The new firm sees no more than basic facts about them (section 2.3).
Whether a lead can be moved at all is decided by your lead arrangement (section 4.2).
IBI also keeps its own record of each lead it collected, and may use it as the privacy policy at https://www.immigrationbyinvestment.com/privacy allows.
4.2 Your lead arrangement. Your firm receives leads, and pays for them, under a separate arrangement with IBI (your "lead arrangement"). That arrangement, not these Terms, decides:
- which leads your firm receives and what they cost;
- whether a lead can be replaced, returned or moved to another advisor.
If a lead is moved to another advisor in the Service, you lose access to it there (section 2.3), and section 4.1 says who is responsible for what.
4.3 Your consultations are your firm's. Your firm is responsible for its own meetings and consultations with leads, and for the advice and services it gives them. IBI is not a party to your consultations or to your agreements with leads. It is not responsible for your advice or services, or for their results. You and your firm must hold any license, registration or qualification that the law requires for the services you offer.
4.4 Contacting leads lawfully. Your firm is responsible for contacting its leads lawfully, whether through the Service or in any other way. In particular, you must:
- before you call, text or email a lead, make sure the law allows it. This includes any consent needed for calls and texts (for example under the U.S. Telephone Consumer Protection Act) and the rules for commercial email (for example the U.S. CAN-SPAM Act);
- honor every opt-out, for example a reply of "STOP" to an SMS or a request not to be contacted. When a lead replies STOP to IBI's SMS number, or with another opt-out the Service recognizes (such as "stop texting me"), the Service stops texts to that number until the lead texts START. Unless the lead asked only to stop texts, it also stops the AI assistant's calls about the lead's earlier inquiries. The Service does not stop your own calls. Read every reply yourself: an opt-out the Service does not recognize, or one given on a call or by email, your firm must honor itself. Record it on the lead with "Mark as opted out": this stops texts to that lead and, unless you choose texts only, the AI assistant's calls about it;
- tell leads who you are and which firm you represent.
Calls, SMS and emails you send through the Service go out from IBI's phone numbers and email addresses, and emails show "Immigration by Investment" as the sender. Because these messages come from IBI, send through the Service only messages about the lead's inquiry, scheduling and follow-up.
4.5 Personal data. Your firm decides how it uses its leads' data, and is responsible for that use under privacy and data-protection law. That includes any copy it makes outside the Service. Keep lead data confidential and protect it with at least reasonable care.
If a lead asks your firm about their data in the Service (to see it, correct it or delete it, or to opt out), forward the request promptly to contact@immigrationbyinvestment.com with the subject "Privacy request", so that we can act on the data held in the Service. Requests about data in your firm's own systems are for your firm to handle.
5. Acceptable use
You agree not to:
- access, or try to access, leads, records, accounts or integrations that are not assigned to you, or try to get around access controls;
- sell, rent or give a lead's data to anyone else, except service providers that work for your firm under a duty of confidentiality;
- send messages that are unsolicited, misleading, harassing or unlawful, or contact a lead who has opted out;
- record, transcribe or submit for AI analysis any conversation without the notices and consents the law requires (section 6);
- connect a third-party account that you are not authorized to use;
- upload content that you have no right to share, or that contains malware;
- probe, scan or test the Service's security, overload it or interfere with it, unless IBI gives you written permission;
- reverse-engineer or scrape the Service, or access it by automated means other than the integrations it offers;
- use the Service in breach of any applicable law, including:
- privacy and data-protection laws;
- telemarketing, SMS and email laws;
- laws that govern immigration and investment services.
6. Recording, transcription and consent
6.1 What is recorded or analyzed.
- Calls you place to leads through the Service (browser calling or the phone bridge) are recorded. They may also be transcribed and analyzed by AI.
- You can add consultation transcripts to the Service in three ways:
- by uploading a transcript file (VTT, SRT or TXT, up to 2 MB), for example one exported from Zoom, Google Meet or Microsoft Teams;
- where IBI has turned it on, by connecting your Zoom account. The transcripts of the Zoom cloud recordings of consultations you host are then imported (section 7.2);
- where IBI has turned it on, by connecting your Google account. The Google Meet transcripts of consultations booked with a Meet link, in calls your Google account organizes, are then imported (section 7.7).
- The Service uses AI to review these transcripts (section 8).
6.2 Your firm must obtain consent. Before you record or transcribe a conversation, or submit it for AI analysis, your firm is responsible for:
- telling every participant (the lead and anyone else on the call) that the conversation is recorded and that it may be transcribed and analyzed by AI;
- obtaining every consent the law requires. Some U.S. states, including California, and some other countries require the consent of all participants. Follow the strictest law that applies to any participant's location.
6.3 Your confirmations.
- Uploads. To upload a transcript, you must confirm that everyone on the call was told it was recorded, and agreed to the recording and to its AI analysis.
- Zoom import. Nothing is imported from Zoom until you confirm, on the Zoom card in the Service, that everyone on your consultations is told the meeting is recorded and agrees to the recording and to its AI analysis.
- The confirmation covers only recordings that start after you give it. Earlier recordings are not imported.
- You can turn the confirmation off at any time. Turning it off stops new imports. It does not remove transcripts that were already imported (sections 7.2 and 7.5 explain how to remove them).
- The confirmation is cleared if you disconnect Zoom, remove the IBI CRM app in Zoom, or connect a different Zoom account. Nothing is imported until you confirm again.
- Google Meet import. Nothing is imported from Google Meet until you confirm, on the Google Meet & Calendar card in the Service, that everyone on your consultations is told the meeting is transcribed and agrees to the transcript and to its AI analysis.
- The confirmation covers only consultations that start after you give it. Earlier ones are not imported.
- You can turn the confirmation off at any time. Turning it off stops new imports. It does not remove transcripts that were already imported (sections 7.5 and 7.7 explain how to remove them).
- The confirmation is cleared if you disconnect Google in the Service or connect a different Google account. Nothing is imported until you confirm again.
- Give a confirmation only if it is true.
6.4 The Service does not notify participants for you. On calls you place through the Service, the automated message "Connecting your call now. This call may be recorded." plays only on your side of the call, before the lead's phone is dialed. The lead does not hear it. A meeting platform's own recording notice may help, but it does not replace your firm's duties under this section.
6.5 If consent is missing. If you cannot meet these requirements for a conversation, do not record it, upload it or let it be imported. If a participant does not agree:
- do not record that meeting in Zoom while Zoom import is on;
- do not turn on transcription for that meeting in Google Meet while Google Meet import is on;
- if a transcript reaches the Service anyway, remove it there, or ask us to remove it. If you remove a transcript imported from Zoom, that recording is not imported again (section 7.2). If you remove one imported from Google Meet, that call is not imported again (section 7.7).
7. Third-party integrations
7.1 Optional connections. You may connect your own accounts with third-party services where IBI has made those connections available to you. Some integrations are switched off by default and appear only after IBI turns them on.
| Integration | What it does |
|---|---|
| Telegram | Sends alerts about events on your leads (for example new replies, calls and bookings) to your own Telegram chat. Alerts can include lead names and the text of their messages. |
| Booking links | Lets you add your own scheduling links (Calendly, Google, Cal.com or any other scheduler) to send to your leads. By default, Calendly and Cal.com links open with the lead's name and email already filled in. IBI can turn this off. |
| Calendly | Reads your event types, your bookings, and the names and email addresses of your invitees, and links bookings to your leads. You can cancel bookings and mark no-shows from the Service. IBI administrators can also do this for consultations booked through your Calendly. These actions take place in your Calendly account. |
| Consultation analysis | Lets you upload consultation transcripts for AI review. |
| Zoom | Imports the audio transcript of the Zoom cloud recording of a consultation you host, once you have given the confirmation in section 6.3. The AI then reviews it. Section 7.2 explains how this works. |
| Google (Calendar, Meet) | Imports the Google Meet transcript of a consultation in a call your Google account organizes, once you have given the confirmation in section 6.3. The AI then reviews it. With Calendar access, consultations you organize on your primary Google calendar with one of your leads as a guest are added to that lead. Section 7.7 explains how this works. |
| Microsoft (Teams) | Not available yet. |
IBI decides which integrations to offer and may change that at any time.
7.2 Zoom transcript import. This is how it works:
- Connecting. You connect Zoom from the Integrations page in the Service. If you add the IBI CRM app from the Zoom App Marketplace instead, Zoom sends you back to the Service, which runs the same connect step. Either way, you must be signed in to the Service as an advisor. If you are not, you are asked to sign in first, and the Service then continues to Connect Zoom by itself. A Zoom account can be connected to only one user of the Service at a time. If your organization has a Zoom administrator, they may need to approve the app before you can connect it.
- What the Service reads from Zoom. The Service asks Zoom only for permission to:
- read your Zoom profile (user ID, name, email, account ID and user type), to show which account is connected and whether it is a licensed (paid) Zoom user;
- read your recording settings, to show whether cloud recording and audio transcripts are turned on;
- list your cloud recordings and read a recording's files, to find the transcript of a consultation;
- receive Zoom's notices that a cloud recording or its transcript is ready.
- Only your own consultations. The Service uses only recordings of meetings hosted by the connected Zoom user. It looks only at your own consultations in the Service that are scheduled to start within 30 minutes before or after the recording started:
- First, it picks the nearest of them that was booked with the same Zoom meeting number.
- If none was, it picks the only one in that window that is set to Zoom (or has no platform) and has no meeting number on file.
- If two are equally near, or more than one could fit, nothing is imported.
- Consultations booked on Google Meet, Microsoft Teams, by phone or with another meeting link never receive a Zoom recording.
- Unmatched recordings are not downloaded. If a recording does not match one of your consultations, the Service downloads nothing from it. It only counts the recording and shows the count on your Zoom card. To count each recording only once, it keeps a short fingerprint of the recording's ID, for the last 100 such recordings.
- Transcript files only. For a matching recording, the Service downloads only the transcript (VTT) files. It never downloads audio or video. If the recording was stopped and restarted, its transcript parts are joined into one transcript.
- One recording per consultation. Only the first recording imported for a consultation is used. An import never replaces a transcript you uploaded yourself.
- Removing or replacing an imported transcript. While the lead is assigned to you, you can remove an imported transcript. Where IBI has turned on Consultation analysis, you can also replace it with a transcript you upload. Either way, the old AI review is deleted, and alerts in the Service about it lose their readiness score, label and mood. After a replacement, the new review sends its own alert. The Service keeps that recording's Zoom recording ID on the consultation, so the recording is never imported again, even if you later remove your upload. The ID is deleted when the Zoom connection ends (section 7.5) or when the retention period ends (section 9.4).
- When a consultation cannot take it. If the recording's consultation cannot receive a transcript, the recording is not imported anywhere else. This happens, for example, if:
- the lead is no longer assigned to you;
- the consultation is not linked to a lead;
- the consultation was canceled or marked as a no-show.
- When nothing is imported at all. Nothing is imported while your account is deactivated, while IBI has Zoom switched off, or for a consultation that is older than the retention period in section 9.4.
- After import. The transcript is saved on the consultation, and the AI review described in section 8 runs on its text. If the consultation is in the past and still shown as scheduled, it is marked as held. If a review fails, you can run it again.
- Daily check. Once a day, the Service re-reads your Zoom recording settings for the checklist on your Zoom card. While your confirmation is on, it also looks through your cloud recordings since its last check (covering at least the past 3 days and at most the past 30). It is looking for transcripts that Zoom's notices did not deliver.
- What you need. Zoom import works only if:
- you host the consultation in the connected Zoom account and record it to the cloud. Zoom does not cloud-record meetings that use its end-to-end encryption;
- you have a licensed Zoom plan (Pro, Business, Education or Enterprise);
- cloud recording and "Create audio transcript" are turned on in your Zoom settings.
7.3 Your accounts, your terms. Each third-party service is provided by its own operator under its own terms and privacy policy, for example those of Zoom, Calendly, Telegram, Google and Microsoft. You are responsible for:
- complying with those terms;
- having the plan and settings an integration needs (for Zoom, see section 7.2; for Google Meet transcripts, a Google Workspace edition that includes them, see section 7.7);
- any fees the third party charges you.
7.4 What we access and how we use it.
- When you connect an account, the Service uses only the permissions you approve on the provider's consent screen, and only to provide that integration's features to you and IBI.
- We store access tokens encrypted.
- We accept Zoom's notices only when they carry Zoom's signature. The one exception is a notice that the app was removed, which we act on only after checking with Zoom (section 7.5).
- We accept Google Calendar's change notices only when they carry the secret token of the notification channel we opened for your calendar. A notice says only that something changed. We then read the changes with your own access.
- We do not sell data obtained through integrations, and it is not used to train AI models. IBI trains no models. Under its commercial API terms, our AI provider, Anthropic, may not train its models on the content we send.
- The Privacy Policy and the integration guides (for example /docs/zoom and /docs/google) explain what each integration reads, how long the data is kept, and what happens to it when you disconnect.
7.5 Disconnecting.
- You can disconnect an integration at any time on the Integrations page in the Service.
- Where the provider allows it, you can also end access from the provider's side. For example, you can remove the IBI CRM app in Zoom, or send /stop to the IBI bot in Telegram.
- Zoom. The following happens when you disconnect Zoom in the Service, when you remove the IBI CRM app in Zoom, or when you connect a different Zoom account:
- Our access to that Zoom account ends. We revoke it at Zoom, unless Zoom has already done so because you removed the app, and we delete the stored tokens.
- We delete everything we stored about that Zoom account: its user ID, name and email, account ID and user type, the settings checks, your confirmation from section 6.3, the import counts, and the fingerprints of unmatched recordings.
- We delete every transcript and AI review imported through that connection, together with their Zoom recording IDs. We also delete any Zoom recording ID kept on your other consultations, for example where you replaced an imported transcript with an upload (section 7.2). The consultation record itself (its date and status) stays.
- Transcripts you uploaded yourself stay, including one that replaced a Zoom transcript.
- Alerts in the Service about those reviews lose their readiness score, label and mood. Alerts already delivered to Telegram or to your device cannot be recalled.
- These deletions happen at once. If one fails, it is retried automatically within minutes.
- If Disconnect shows an error, it may not have finished. Click Disconnect again.
- If you remove the app in Zoom. Zoom then sends us a notice, and we delete as described above. After a removal in Zoom, a step that fails is completed by the automatic check about an hour later. Sometimes the notice arrives without Zoom's signature. In that case we first check with Zoom that our access has really ended, and only then delete. This normally happens within about an hour, and it works even while your account is deactivated. If Zoom shows that our access still works, nothing is deleted.
- Google. The following happens when you disconnect Google in the Service, or when you connect a different Google account:
- Our access to that Google account ends. We ask Google to stop the notifications from your calendar and to revoke our access, and we delete the stored tokens.
- We delete everything we stored about that Google account: its account ID and email, its Workspace domain, the access you granted, your confirmation from section 6.3, and the state of the calendar sync.
- We delete every Google Meet transcript and AI review imported through that connection, together with their Meet IDs. We also delete any Meet ID kept on your other consultations, for example where you replaced an imported transcript with an upload (section 7.7). The consultation record itself (its date and status) stays.
- Consultations that came from your Google Calendar stay on your leads as bookings, with their time, call link and meeting code, and the lead's email. They no longer follow your calendar, so cancel them in the Service if you need to.
- Transcripts you uploaded yourself stay.
- Alerts in the Service about those reviews lose their readiness score, label and mood. Alerts already delivered to Telegram or to your device cannot be recalled.
- If deleting a transcript, review or Meet ID fails, it is retried automatically within minutes.
- If you remove our access in your Google account (https://myaccount.google.com/permissions), our access ends, but nothing is deleted in the Service. What was already brought in stays until you disconnect Google in the Service, or until the retention period ends (section 9.4).
- The Privacy Policy explains what happens to data imported through other connections.
7.6 No endorsement. Zoom, Calendly, Telegram, Google, Microsoft and other third parties do not operate, sponsor or endorse the Service. Their names and trademarks belong to their owners. We are not responsible for third-party services or their availability. An integration may stop working if its provider changes its service.
7.7 Google Calendar and Google Meet. This is how it works:
- Connecting. You connect Google from the Integrations page in the Service, on the Google Meet & Calendar card, where IBI has turned Google on for you. IBI may turn it on for only some advisors. You must be signed in to the Service as an advisor. Before Google's consent screen, the Service shows what it does with your Google data, and you agree to it. You agree again each time you go to Google's consent screen: to connect, to reconnect, or to grant more access. A Google account can be connected to only one user of the Service at a time. Your Google Workspace administrator may restrict apps' access to Meet or Calendar; the Service then cannot read them.
- What the Service reads from Google. The Service asks Google only for permission to:
- see your Google account's ID and email address, to show which account is connected;
- read the records of Google Meet calls your account organized, with their transcripts and the participants' names, to find the transcript of a consultation;
- read the events on calendars you own. The Service reads only your primary calendar, and only the details it needs. It never reads event titles or descriptions;
- receive Google's notices that the events on your primary calendar changed.
- Choosing what to allow. On Google's screen you can allow Meet access and Calendar access separately. Each part works only with its own access, and you can grant the other later.
- Only your own consultations. The Service looks for a Meet transcript only for your own consultations in the Service, on leads assigned to you, booked with a Google Meet link, that started after your confirmation in section 6.3. Google lists only calls organized by the connected Google account. The Service uses a call's record only if it started within 30 minutes of the consultation's start and this is the nearest of your consultations booked with that Meet link:
- If two are equally near, nothing is imported.
- A record that starts later in the booked time, no more than 10 minutes after the matched part of the call ended, joins it (for example when people leave and rejoin), unless another of your consultations could be that call.
- Consultations booked on Zoom, Microsoft Teams, by phone or with another meeting link never receive a Google Meet transcript.
- Transcripts only. The Service reads the transcript (who spoke, what was said and when) and the participants' names. It never downloads audio, video or files from Google Drive. If a call has several parts, they are joined into one transcript in time order.
- When it looks. The Service looks from 10 minutes after the consultation's booked end, at growing intervals, until it finds the transcript or it is clear there is none, and at the latest until 30 days after the consultation started.
- One transcript per consultation. Only the first transcript imported for a consultation is used.
The Service keeps the call's Meet ID on the consultation, so the call is never imported again, even if you later remove your upload. The ID is deleted when the Google connection ends (section 7.5) or when the retention period ends (section 9.4).
- When nothing is imported. Nothing is imported:
- while your account is deactivated, while IBI has Google switched off for you, or while the connection needs reconnecting;
- for a consultation whose lead is no longer assigned to you, or that was canceled or marked as a no-show;
- for a consultation that is older than the retention period in section 9.4;
- for a transcript too short or too long to review.
- After import. The transcript is saved on the consultation, and the AI review described in section 8 runs on its text. If the consultation is in the past and still shown as scheduled, it is marked as held. If a review fails, you can run it again.
- Calendar. With Calendar access, the Service uses only the events you organize on your primary calendar:
- An event with one of your leads as a guest becomes a consultation on that lead. Guests are matched by email address, only with leads assigned to you now. A guest who declined does not count. The lead is then shown as booked.
- All-day events, events that are not meetings (such as out of office) and events without guests are skipped. Events that match none of your leads are not stored.
- When the event is moved, a scheduled consultation moves with it. When the event is deleted, the lead declines, or the lead is removed from its guests, a scheduled consultation is canceled.
- The Service cannot change your calendar. While your calendar syncs, cancel such a consultation by deleting the event in Google Calendar. If a consultation is not synced (for example after you disconnect, while Google refuses access to your calendar, or after its event becomes all-day or is no longer organized by you), it stays booked; cancel it in the Service.
- If the same call also comes through Calendly, only Calendly's booking is kept as the consultation.
- What you need. Google Meet import works only if:
- your Google Workspace edition creates Meet transcripts (Business Standard or higher, or Workspace Individual);
- you organize the call from the connected Google account. A call on someone else's link is not found;
- transcription is turned on in the call;
- the consultation is on the lead in the Service with its Google Meet link.
8. AI features
8.1 What the AI does. The Service uses these third-party services:
- Anthropic (Claude), our AI provider. It prepares lead reports, summarizes calls and reviews consultation transcripts, whether they were uploaded or imported from Zoom or Google Meet. A review covers the lead's readiness, objections, agreed next steps and the quality of the call. Anthropic provides this service to IBI under its commercial API terms, which do not allow it to train its AI models on the content we send. The Privacy Policy explains how long Anthropic keeps that content.
- ElevenLabs: runs IBI's automated voice calls with leads.
- Twilio: transcribes recorded calls.
8.2 Assistive only. AI output is generated automatically and may be incomplete, inaccurate or out of date. It may misread speakers, attribute statements to the wrong person, or repeat errors in a transcript. AI output:
- is meant to assist people, not to replace their judgment;
- is not legal, immigration, tax, investment or financial advice;
- should not be the only basis for any decision about a lead or an advisor.
8.3 Check before relying on it. Check AI output against the source material before you rely on it or share it. Do not pass AI output to a lead as a statement of fact or as advice.
8.4 Coaching feedback. Consultation reviews may include feedback on how a call was conducted. You and IBI administrators can see it. It is generated by AI and may be wrong.
9. Data and content
9.1 Your content. Content you add to the Service belongs to your firm, together with its leads' data (section 4.1). That includes call notes and reports, messages, uploaded or imported transcripts and booking links. The AI reviews of your consultations and calls also belong to your firm.
9.2 What IBI may do with it. Your firm grants IBI a non-exclusive, worldwide, royalty-free license to host, store, copy, process and analyze (including with AI) its leads' data and your content. The license also lets IBI show them to the users who may see them under section 2.3. IBI may use this license only to:
- operate, support and secure the Service;
- follow up on the leads IBI provided (for example, to see whether a consultation took place and how the lead responded), and give you and IBI the feedback described in section 8.4;
- comply with law.
The license ends for each item when it is deleted. It continues only where the law requires us to keep something, and it does not limit IBI's own record of the leads it collected (section 4.1).
9.3 Your rights to content. You confirm that you have the rights and consents needed for any content you add, including the consents described in section 6.
9.4 How long data is kept.
- Leads and everything recorded about them in the Service are kept until deletion is requested. That includes calls, call recordings, SMS, emails, reports and activity history. User accounts are kept the same way.
- Your firm can ask us to delete its leads' data. A lead can ask about their own data. You can ask about your account.
- Send requests to contact@immigrationbyinvestment.com with the subject "Privacy request".
- We may keep what the law requires us to keep, and IBI keeps its own record of the leads it collected (section 4.1).
- Consultation transcripts and their AI reviews, whether uploaded or imported, are deleted automatically after a retention period. By default, that is 365 days after the meeting. IBI can set it anywhere from 30 to 3,650 days. Any Zoom recording ID or Google Meet ID kept on the consultation is deleted at the same time. The consultation record itself (its date and status) is kept.
- While a lead is assigned to you, you can remove a transcript of your consultation sooner. Otherwise, ask us.
- Transcripts and reviews imported from Zoom, and the Zoom recording IDs kept on your consultations, are also deleted at once when the Zoom connection ends (section 7.5). The same applies to those imported from Google Meet, and the Meet IDs kept on your consultations, when the Google connection ends (section 7.5).
- The Privacy Policy gives more detail, including what our service providers keep.
9.5 Our Service. IBI and its licensors own the Service, including its software, design and documentation. These Terms give you a limited, revocable, non-transferable right to use the Service for its intended purpose, and no other rights.
10. Confidentiality
"IBI's Confidential Information" means non-public information about IBI's business and the Service that you receive through the Service or from IBI. Examples are how the Service works, its documentation, and information about IBI's other partners. You must:
- keep it confidential;
- use it only for your work with your leads and with IBI;
- protect it with at least reasonable care.
This does not apply to information that is public, or that you already had lawfully. Lead data is covered by section 4.5. These obligations continue after your access ends.
11. Fees
- IBI provides the Service to advisors free of charge.
- Your firm pays only for the leads it receives, under its lead arrangement with IBI. These Terms do not set lead prices or payment terms.
- If IBI ever wants to charge for the Service itself, it will first agree that with your firm in writing.
- You are responsible for any fees that third-party services charge you, for example for a paid Zoom plan.
12. Suspension and termination
12.1 Our right to suspend or end access. IBI may suspend or deactivate your account, disable an integration or end your access to the Service at any time, with or without notice. In particular, we may do so if:
- you breach these Terms;
- your firm's lead arrangement or other relationship with IBI ends;
- we need to protect leads, other users or the Service.
12.2 Deactivation.
- While your account is deactivated, you cannot sign in. The Service stops using your connected integrations (for example, nothing is imported from Zoom) and stops sending you alerts.
- Deactivation pauses your connections. It does not disconnect them, and it does not delete data imported through them.
- To end our access to a third-party account, disconnect it before you leave, or remove the app on the provider's side. Disconnecting Zoom in the Service deletes the transcripts it imported at once. If you remove the IBI CRM app in Zoom while your account is deactivated, we still delete what it brought in (section 7.5).
12.3 Leaving. You may stop using the Service at any time. Before you leave, disconnect your integrations. You can ask us to deactivate or delete your account by writing to contact@immigrationbyinvestment.com.
12.4 After your access ends:
- you lose access to all leads and records in the Service;
- the leads still assigned to your firm remain your firm's. If one of them is moved to another firm, that firm is responsible for it from then on, and your firm remains responsible for the records it created (section 4.1);
- your firm's leads and records stay in the Service, where IBI administrators can still see them, until deletion is requested, except that consultation transcripts and reviews are kept only for their retention period (section 9.4). Your lead arrangement governs what happens to leads your firm has not finished working with;
- if your firm needs a copy of its leads' data, ask us at contact@immigrationbyinvestment.com before your access ends, and we will help you get one;
- your personal data and imported data are handled as described in the Privacy Policy.
Sections 4, 5, 6, 9 and 10, and sections 13 to 17, continue to apply after your access ends.
13. Disclaimers
The Service, including AI output and integrations, is provided "as is" and "as available". To the fullest extent the law allows, IBI disclaims all warranties, whether express, implied or statutory. These include warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement.
We do not guarantee that:
- a lead will become a client, or that a lead will be of any particular quality, except as your lead arrangement provides;
- messages, calls or alerts will be delivered;
- a recording or transcript will be imported;
- the Service will be uninterrupted or error-free;
- third-party services will remain available or compatible.
14. Limitation of liability
To the fullest extent the law allows:
- IBI is not liable for any indirect, incidental, special, consequential or punitive damages. Nor is it liable for any loss of profits, revenue, business, goodwill or data arising from or related to the Service or these Terms. This applies even if IBI was told that such damages were possible.
- IBI's total liability for all claims relating to the Service or these Terms is limited to the greater of:
- US$100;
- the total amount your firm paid IBI for leads in the 12 months before the event that gave rise to the claim.
- Claims about the leads themselves (their price, quality, delivery or replacement) are governed by your lead arrangement, not by this section.
- Nothing in these Terms limits any liability that the law does not allow to be limited, such as liability for fraud.
Some jurisdictions do not allow some of these limits. Where that is the case, they apply only as far as the law permits.
15. Indemnity
Your firm will defend, indemnify and hold harmless IBI and its personnel against third-party claims, losses and costs (including reasonable legal fees) that arise from:
- your breach of these Terms;
- your content;
- your firm's consultations, advice and services to leads;
- contacting a person, or recording a conversation, without the notice or consent the law requires;
- any other use of the Service in breach of law.
16. Changes to these Terms
We may update these Terms. When we do, we will post the new version at https://ibicrm.com/terms with a new effective date. If a change is material, we will email active users before it takes effect. If you keep using the Service after a change takes effect, you accept the updated Terms.
17. General
- Entire agreement. These Terms, the Privacy Policy and any separate written agreement between your firm and IBI (including your lead arrangement) form the entire agreement about the Service. If these Terms conflict with a separate written agreement, that agreement prevails.
- Independent businesses. Your firm and IBI are independent businesses. Nothing in these Terms makes either of them the other's employee, agent, partner or joint venturer.
- Notices. We send notices to the email address of your account. Send notices to us at contact@immigrationbyinvestment.com.
- Severability. If any provision is found unenforceable, the rest remains in effect.
- No waiver. If we do not enforce a provision, we have not waived it.
- Assignment. You may not assign these Terms without IBI's written consent. IBI may assign them as part of a reorganization or a sale of its business.
- Events beyond control. Neither party is liable for delays caused by events beyond its reasonable control.
