Lead Desk

Lead Desk support

Effective date: October 9, 2026

Lead Desk (listed in the Zoom App Marketplace as IBI CRM) is the lead management system at https://ibicrm.com. IBI runs it for its own team and for its partner advisor firms. This page explains how to get help, where to find the documentation, how to make a privacy request and how to report a security issue.

Operator: immigration by investment (DBA) - Immigration Diligence LLC ("IBI"), the company behind https://www.immigrationbyinvestment.com.

Contact us

Email: contact@immigrationbyinvestment.com

We use one address for everything:

When we answer:

  • First response: within 1 business day.
  • Support hours: Monday to Friday, 9:00 to 18:00 US Eastern Time, excluding US public holidays.

To help us answer quickly, please include:

  • the email address you use to sign in to Lead Desk
  • what you were trying to do, and what happened instead (copy the exact error message if there is one)
  • the page address (URL), the date, the approximate time and your time zone
  • a screenshot, if it helps

Please never send us:

  • your password
  • sign-in details for Zoom, Calendly, Telegram or any other service
  • transcripts, recordings or a lead's personal details. Send the address of the lead's page instead, and an IBI administrator will open it in Lead Desk.

Common requests

  • Getting an account. IBI administrators create every Lead Desk account. There is no self sign-up. If you work with one of IBI's partner advisor firms and need access, email us.
  • Forgotten password. Lead Desk has no self-service password reset. Email us from the address you sign in with, and an IBI administrator will restore your access.
  • "Too many attempts". After 5 failed sign-ins with the same email within 15 minutes, Lead Desk may refuse sign-in for up to 15 minutes. Wait, then try again.
  • An integration says "Needs reconnecting". Open Integrations and click Reconnect on that card. This happens when the other service stops accepting Lead Desk's access, for example after access was revoked there. For Zoom, see If the card says "Needs reconnecting".
  • You don't see an integration. IBI switches each integration on or off. If one you need is missing from your Integrations page, email us.
  • Adding the IBI CRM app from the Zoom App Marketplace. If you aren't signed in to Lead Desk, you will be asked to sign in on the way. Lead Desk then continues to Connect Zoom by itself. See Add the app.
  • Billing. Lead Desk itself is free for partner advisor firms. Leads are provided under each firm's separate arrangement with IBI. For questions about that arrangement, email us.

Each partner advisor firm is responsible for its own consultations and calls. That includes telling everyone when a call is recorded and getting their agreement.

  • Calls from Lead Desk. Calls you make to a lead from Lead Desk, with the browser phone or the phone bridge, are recorded on both sides. The message "This call may be recorded." plays only to you, before the lead is connected. The lead does not hear it, so tell the lead yourself that the call is recorded.
  • Consultation transcripts. You must confirm that everyone on the call was told it was recorded and agreed to the recording and its AI analysis. You confirm this each time you upload a transcript. For Zoom, you confirm it on the Zoom card under Integrations before anything is imported. For Google Meet, you confirm on the Google Meet & Calendar card, before anything is imported, that everyone is told the meeting is transcribed and agrees to the transcript and its AI analysis.
  • If someone doesn't agree, don't record. If a transcript reaches Lead Desk anyway, remove it on the lead's Consultation card.

Documentation

  • Zoom: the Zoom integration guide covers:
    • what you need
    • connecting
    • how transcripts reach your leads
    • disconnecting
    • what happens to your data
  • Google Meet and Google Calendar: where IBI has switched Google on for you, the transcripts of Google Meet calls you organize can be imported, and consultations on your Google Calendar can be added to your leads. The Google integration guide explains how. Otherwise, upload the transcript as described below.
  • Microsoft Teams: there is no direct connection yet. To have a consultation reviewed, upload its transcript (this needs Consultation analysis, which IBI switches on):
    1. On the lead's Consultation card, mark the consultation as Held.
    2. Download the transcript from Meet or Teams. It must be a VTT, SRT or TXT file of up to 2 MB.
    3. Click Upload transcript and choose the file.
    4. Tick the box confirming that everyone on the call was told it was recorded and agreed to the recording and its AI analysis.
    5. Click Upload and review.

Privacy and data requests

Lead Desk may hold personal data about you. For example, you may have sent an inquiry to IBI and then been contacted by IBI or one of its partner advisor firms. You can ask to see, correct or delete that data.

  • Email contact@immigrationbyinvestment.com with the subject "Privacy request". Include your name and the email address or phone number you used with us.
  • We will confirm your identity before acting, and reply within the time the law requires.
  • Each lead in Lead Desk belongs to the partner advisor firm it is assigned to, and each firm is responsible for its own consultations. Even so, please send every request about your data in Lead Desk to us. If you write to the firm instead, it forwards your request to us. We act on it in Lead Desk and tell the firm what we did.
  • Copies that a firm keeps outside Lead Desk, for example in its own email or files, are for that firm to handle. Ask the firm about those.

How long data is kept:

  • Leads and the rest: leads with their notes and reports, calls and call recordings, SMS and email messages, activity history and user accounts are kept until they are deleted on request.
  • Consultation transcripts and their AI reviews: kept for 365 days after the consultation by default. IBI can set this anywhere from 30 to 3,650 days. After that they are deleted automatically.
  • Transcripts imported from Zoom: deleted at once, with their reviews and Zoom recording IDs, when the advisor's Zoom connection is closed (Disconnect, removing the app in Zoom, or switching to another Zoom account). Transcripts the advisor uploaded by hand stay and follow the retention period above. See What happens to your data after removal.
  • Transcripts imported from Google Meet: deleted at once, with their reviews and Meet IDs, when the advisor's Google connection is closed (Disconnect, or switching to another Google account). Removing access in the Google account alone deletes nothing. Consultations from the Google Calendar stay as bookings. See What happens to your data after you disconnect.
  • Copies at other services: the services that carry our calls, messages and alerts keep their own copies under their own retention rules.

See the Privacy Policy for details.

Report a security issue

If you believe you have found a security vulnerability in Lead Desk, email contact@immigrationbyinvestment.com with the subject "Security report".

Please include:

  • a description of the issue and its possible impact
  • the steps to reproduce it, and the affected URL or endpoint
  • your contact details, if you would like us to follow up

We will acknowledge your report within 1 business day and keep you informed until it is resolved.

When researching, please:

  • use only your own account and test data
  • don't access, change or delete other people's data; if you come across it, stop and tell us
  • don't run denial-of-service tests, send spam, or try social engineering or physical attacks
  • give us reasonable time to fix the issue before you disclose it publicly

If you act in good faith — you test only your own accounts or data, avoid harming other users and our systems, don't access, keep or share more data than needed to show the problem, and give us reasonable time to fix it before telling anyone else — we will not take legal action against you for that research, and we will work with you to understand and fix the issue.

If your account may be compromised

If you think your Lead Desk account, or a service connected to it, has been compromised, email us right away.

  • An IBI administrator can deactivate your Lead Desk account immediately. Deactivation pauses your integrations but does not disconnect them.
  • You can disconnect integrations yourself on the Integrations page.
  • For Zoom, you can also remove the IBI CRM app in the Zoom App Marketplace (see Remove the app). This works even after your Lead Desk account has been deactivated.
